A renewal reminder works when the learner can understand the consequence and take the next step without asking support to translate it.
Choose one decisive moment
Enrolius initially supports one renewal reminder. That makes timing a policy decision. Work backward from the effort required. A short evidence upload may need less notice than a course, assessment and human review.
Leave time for correction if evidence can be rejected.
Include six facts
The reminder should state:
- Credential name
- Current expiry date
- Renewal requirement
- Completion deadline
- Direct route to continue
- Support contact for exceptions
Use the issuer's name clearly. Avoid generic subject lines such as “Action required” without context.
Explain the consequence accurately
Say whether the credential will verify as expired, whether a benefit ends, or whether the learner must repeat a step. Do not threaten regulatory consequences unless the provider can support that claim.
Personalize from authoritative data
Use the credential record, not a manually maintained mailing spreadsheet, for the name and dates. Before sending, sample records at month-end and around time-zone boundaries.
Make the action accessible
Use plain language, descriptive links, a readable layout and a route that works on mobile. Do not place the only instruction in an image or PDF.
Separate reminders from approval
The reminder invites action. Completing a renewal activity may create an eligibility or evidence-review task. It should not automatically issue a professional certification unless the rule permits it.
Measure the result
Track delivered, opened where lawful and useful, started, evidence submitted, approved and expired. Support questions are qualitative data: repeated confusion indicates that the program rule or message needs revision.
Prepare for additional communication
If one reminder is insufficient, define an approved manual sequence or use another communication system without misrepresenting it as an Enrolius native feature. Keep the credential state in Enrolius as the authoritative record.
Frequently asked questions
When should the reminder be sent?
Use the time a typical learner needs to complete the requirement, plus review and correction time. There is no universal number of days.
Can a reminder extend the credential?
No. Only a recorded provider decision under the program policy should change the validity period.
