An export is a controlled copy for a defined purpose. It should not become an invisible second certification database.
State the purpose
Common purposes include finance review, provider reporting, migration, internal quality assurance and response to an authorized audit. Export only the fields and date range needed.
Include the right context
A useful certification export may include stable learner and credential identifiers, program and version, credential type, issue and expiry dates, status and relevant decision references. Explain coded values in accompanying documentation.
Protect personal data
Limit recipients, use an approved storage location and set a deletion date. Avoid emailing unencrypted spreadsheets containing more learner data than the recipient needs. Record who requested and received the export when risk warrants it.
Keep Enrolius authoritative
If a recipient corrects a row in Excel, the change does not automatically update the platform. Route corrections through the authorized Enrolius process, then generate a new export. Add an export timestamp so copies are not mistaken for live status.
Reconcile before relying on it
Compare record counts and sample issue/expiry dates. Check encoding, time zones and formulas introduced by spreadsheet software. Leading zeros and long identifiers can be altered when files are opened.
Verification and export serve different jobs
A public verification page answers a narrow status question. An export supports authorized operational analysis. Do not expose a full export to make individual credentials easier to verify.
Product boundary
Enrolius includes basic import/export. It does not mean real-time synchronization to every accounting, LMS or data-warehouse product. Define and test any later connector separately.
Create an export policy
Document approved purposes, fields, recipients, transmission, retention and correction. Review it when the program changes or new data categories are collected.

It proves what the file contained at export time. Use the live verification result for current public status.
Should learners receive the whole database export?
No. Provide the individual data and credential information they are entitled to under the applicable policy and law.
